Office Administrator


The Office Administrator manages day to day office operations providing administrative support to OPTIS employees.


Travel planning:

  • Organizing, managing and implementing travels through the travel policy and budget (visas, flights…)
  • Editing travel authorization documents prior to business trips
  • Organizing internal events, seminars, logistical support to the guests
  • Verifying travel expenses

Office management:

  • Welcoming, orientation and information of office guests, managing incoming phone calls, clerical tasks
  • Organizing and preparing meetings Supervising & managing office facilities: quotes for needed works, supervising the execution of the contracts, overseeing that facilities respect at all time health and security obligations.
  • Ordering stationery, coordinating with other regular suppliers such as lunch, water, coffee consumables, printer and other facility staff suppliers. Raising PO requests and invoice tracking complying within budgetary guidelines
  • Preparation and tracking of expense reports, adhering to internal policies
  • Package shipping to customers, events or subsidiaries in accordance with custom regulations


  • Administrative assistant degree
  • Good level in English (must be able to reply to customers on the phone)
  • 3-4 years of relevant experience in front desk operations and facilities


  • Team spirit and sociable Ability to supervise and manage both direct and sub contract work with the suppliers and contractors. Good communication skills
  • Good organization skills
  • Knowledge of excel, word and outlook
