SUMMARY


The French Facilities Manager is a key contributor role within Global Real Estate and Facilities Management team, that is directly responsible for ANSYS owned/leased office property in France. The Facilities Manager is responsible for the day to day management of the office environment. In addition, the Facilities Manager is expected to work closely with the Global Real Estate and Facilities Management team on Capex projects such as office expansion and renovation, lease termination and dilapidations, office relocations and new office start-up. The Facilities Manager will oversee the delivery of contracted services by facility service providers and liaise with landlords/property managers on delivery of services about leased property in your region. You will have management responsibility for a group of properties in your given region and manage them in line with all Health and Safety, environmental, company procedures related general legislation and internal client requirements. This includes ensuring the adherence to the budgetary costs set out at the beginning of the financial year and customer service standards. The Facilities Manager is also responsible to work with local Human Resources, as well as the local management teams to ensure appropriate engagement with the work’s council and Health and Fire Safety representatives.

RESPONSIBILITIES


• Ensure the safety and security of our offices and our employees. Make recommendations for improvements. Implement new processes or policies as directed by your manager.
• Ensure uninterrupted utilities and facilities services. Building systems should perform consistently in liaison with landlord, property managers, consultants and contractors as applicable.
• Ensure regular appropriate cleaning service, rubbish removal, and recycling.
• Maintain good business relationships with shared services teams, local leadership as well as Works Council.
• Ensure the fabric of the building both externally and internally is maintained and serviced to a high standard in accordance with the management contract and agreed budgets.
• First point of escalation for building emergencies across the region.
• Maintain relationships with building/office occupants and business leaders to ensure needs and expectations are being met.
• Responsible for building asset management for leased/owned equipment and preventative maintenance (PM) programs for those assets where applicable. Assess / monitor useful life, ensure preventative maintenance, timely repair and/or replacements of facilities equipment as necessary.
• Prepare and propose Opex projects to management and aid the real estate/project management team in the proposal and preparation of Capex projects for buildings and offices in your region.
• Ensure that all work associated with facilities in the regional portfolio, both preventative, corrective and any work in support of day to day activities, is captured in the weekly report and monitor the works/repair progress to completion and in line with their relevant project plan, SLAs and KPIs. Management of Facility Service Providers, vendors, and suppliers to ensure competitive pricing, delivery and quality of contracted service and goods, and hold them accountable to agreed upon SLAs and KPIs.
• Creating safe and efficient working environments (Health & Safety, Fire Wardens, Building evacuation).
• Conduct periodic site inspections and audits with business partners, property managers, and service providers for safety, quality, service delivery performance, and their adherence to compliance to local codes and regulations.
• Report monthly on statutory non- compliances.
• Liaise with Landlords/Property Management. Report maintenance issues, resolve conflicts, and ensuring compliance with the lease obligations including but not limited to insurance and consent requirements. Represent ANSYS at any tenant meetings and send a copy of the minutes to your line manager.
• Oversee tactical space planning and managing any moves, adds or changes associated with systems furniture. Track and monitor capacity as well as planned headcount growth to proactively plan for changes needed to accommodate growth.
• Responsible for adhering to company security policies and procedure as directed.
• Responsible for all the health and safety compliance onsite, including that of third party services providers and maintenance records. This includes ensuring that all relevant permits to work, method statements etc are filed and monitored in accordance with all the Health and Safety requirements.
• Competitively bid and oversee third party contracts to ensure the correct standard of service is provided in accordance with the agreed contract.
• Compile and maintain all required management information/records relating to company, health and safety and other related records. This includes asset register, emergency plans and all related records and management reports.
• Ensure fire and other evacuations are carried out on a regular basis in accordance with the health and safety requirements. This includes ensuring the emergency plan and related site maps are continually updated within all properties including;
• Liaise with local authorities as appropriate
• Proactively manage risk and deal with insurance issues on site
• Manage major work programmes on site, acting as the liaison point for all parties involved
• Produce management reports in accordance with the needs of the business.
• Liaise with the procurement department to ensure compilation of external contracts and ensure that all procurement needs are carried out in line with Company policy
• To monitor FM works onsite and liaise with service providers/sub-contractors.
• Other duties as assigned.

MINIMUM QUALIFICATIONS


• Educated to degree level or equivalent.
• Previous regional facilities management experience within a multi let property environment.
• Excellent customer service, interpersonal and communication skills
• IT literate, together with an understanding and experience of industry specific IT applications.
• High degree and knowledge reference of Health and Safety legislation, environmental protection requirements and ideally IOSH or NEBOSH qualified or equivalent.
• Ability to communicate effectively in English, both verbally and in writing.
• Financial and business acumen in multiple cultural environments
• Ability to work on the phone and computer for an extended period.
• Strong analytical skills.
• Ability to work within a team and on own initiative and within a pressurized environment with excellent organizational and planning skills.
